Who we are

LET NEXUS is provided by LET NEXUS LTD, a company registered in England and Wales (company number 17404019), whose registered office is at 190 Park Road, Dukinfield, SK16 5LP (“we”, “us”). You can contact us about privacy at support@letnexus.co.uk.

Our role

• We are the controller of personal data about our customers and their team members (for example your name, email and billing details) and about visitors to our website.
• We are a processor for the personal data our customers add about other people, such as tenants, applicants, referees and contractors. The landlord or letting business using LET NEXUS is the controller of that data and decides how it’s used. If you’re a tenant or applicant, please contact the landlord or agent first about your data. We’ll help them respond.

What we collect

• Account details: your name, email address, password (stored only in a securely hashed form), organisation name and team roles.
• Billing details: your subscription status and invoices. Card payments are handled by Stripe. We never see or store your full card details.
• Content you add: properties, tenancies, certificates, documents, inspections, repairs, tasks, notes, and tenant screening information.
• Technical information: such as IP address, browser type and security logs, used to keep the service secure and working.
• Messages: emails and feedback you send us.

How we use it, and our lawful basis

• To provide LET NEXUS, including sending reminders and service emails, and to manage your subscription (performance of a contract).
• To keep the service secure, prevent misuse and fix problems, and to improve LET NEXUS (our legitimate interests).
• To keep accounting and tax records (legal obligation).

We don’t sell personal data and we don’t use it for advertising.

Who we share it with

We use trusted service providers who process data only on our instructions:

• Supabase: database, login and file storage (data stored in London, UK).
• Vercel: application hosting (London region).
• Resend: sending emails such as reminders and invitations.
• Stripe: subscription payments.
• Anthropic: optional AI-assisted features, such as suggesting a repair category, where enabled.

Some of these providers are based in, or may access data from, the United States. Where personal data is transferred outside the UK, we rely on appropriate safeguards such as the UK International Data Transfer Addendum or the UK–US data bridge.

We may also share data if required by law, or to protect our rights, our customers or others.

How long we keep it

• Account and content data: while your account is open. If you close your account, we delete it within 90 days unless you ask us to delete it sooner, or we must keep it by law.
• Billing records: 6 years, for tax purposes.
• Security logs: for a limited period needed to keep the service secure.

Your rights

Under UK GDPR you have the right to access your personal data, correct it, ask us to delete it, restrict or object to how we use it, and ask for a copy in a portable format. You can export your organisation’s data from your settings at any time. To make a request, email support@letnexus.co.uk.

If you’re unhappy with how we handle your data, please tell us first. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk.

Security

We use encryption in transit and at rest, strict separation between customer accounts, role-based access and audit logging. Read more on our security page.

Cookies

We only use essential cookies needed to keep you logged in. See our cookie policy.

Children

LET NEXUS is for landlords and letting businesses. It isn’t intended for anyone under 18.

Changes

We’ll update this policy when our practices change and show the date at the top. For significant changes we’ll let customers know by email.
